Email address verification

When a new user creates an account (Sign Up), they are required to complete email verification.
Email verification restricts only two actions until the email is confirmed:

  • Managing notification settings

  • Inviting or creating new users

All other features remain fully available.
Exception:
Users authenticated via AD (Azure AD / Active Directory) are not affected by any of these restrictions.


1. Email Verification Banner

After signing up, the user always sees a banner in the top-left corner of the application or User Account :
Email Verification Required!
Please verify your email to unlock all features.
The banner includes a Verify Now button, which redirects the user to the email verification screen.

Important notes:

  • The banner disappears immediately after successful verification

  • The banner is not shown to AD users

2. Notification Settings Restrictions

When the user navigates to Settings > Notifications:

  • All notification toggles are enabled by default

  • The user can turn notifications off

  • If the user turns a notification off, they cannot turn it back on until email verification is completed

This behaviour ensures that users are not forced to receive emails they do not want.
When the user hovers over a disabled notification toggle, a tooltip is displayed:

Email verification required to update this setting.

3. User Management Restrictions

If the user tries to:

  • Add new users

  • Send invitations

  • Share workspaces

For example, when navigating to Users > Add Users:

  • The Add Users button is disabled

  • When hovering over the button, a tooltip appears:

You must verify your email before creating new users.

Additional notes:

  • Tooltips appear on hover

  • AD users are not affected by these restrictions

4. Email Verification Process

When the user clicks Verify Now:

  1. The user is redirected to the Check your email page

  2. A verification code is sent to the user’s email address

  3. The user enters the code into the input fields

  4. The user clicks Verify Email to complete the process

5. Verification Status After Completion

After successful verification:

  • The Email Verification banner disappears

  • In User Account, the user sees a green Verified label next to their email address

6. Support Option During Verification

On the Check your email page, the user also sees the option:
“Still having trouble? Contact Support”

  • This opens the support form

  • Support can manually mark the email address as verified if needed
